Front Office Assistant/Receptionist

Kissimmee, FL

Nature and Scope of Job:

The Front Office Assistant performs secretarial duties necessary for a loving, professional and effective school office; assists the Directors, Principal, and school staff in completing essential tasks to ensure a loving and safe learning environment is provided to all students.

  • First and foremost, must be a Christian and have a relationship with God
  • Have excellent integrity and shows good moral character
  • Display a personality that shows love, kindness, patience, and enthusiasm to relate well with school stakeholders
  • Have at least a High School Diploma
  • Have at least two (2) years working in a secretarial or related office experience
  • Demonstrate the ability to communicate effectively in English and Spanish, both orally and in written form
  • Demonstrate knowledge of exceptional customer service skills
  • Ability to multi-task and perform efficiently in a fast-paced environment
  • Be proficient in the use of Microsoft Office Excel and Word
  • Operate basic office equipment to include, but not limited to, printer, copier, scanner, fax machine.

Job Functions and Responsibilities


  • Display Christi-like behavior while interacting with staff, school visitors and students
  • Services as a role model for staff, school visitors and students in demonstrating a positive attitude, professional dress attire, and great work ethic
  • Greets all staff, visitors, and students pleasantly
  • Answer telephone calls in a friendly manner
  • Create and maintain a clean, professional, and safe office environment
  • Works cooperatively with staff, at all times

Information Collection and Distribution

  • Collect, sort, and distribute school main and correspondences
  • Manage school correspondences to include, but is not limited to, writing, typing, reproducing and distributing school notices to staff, students, and parents
  • Protect and appropriately handle confidential and sensitive information about students
  • Attend required staff meetings and take minutes
  • Establish, maintain, and monitor accurate, neat, and efficient electronic and manual filing systems

Scheduling and Coordinating

  • Schedule, confirm, and reschedule appointments for Directors, Principal, and other staff members as designated
  • Maintain current school calendar of event
  • Be aware of upcoming school important dates and events
  • Assist with planning school events, as necessary
  • Assist with coordinating field trips, to include, but is not limited to distributing permission slips, collecting permission slips, and submitting final field trip count

Visitor and Parent Interaction

  • Serves as the first point of contact for questions/concerns
  • Accurately documents and distribute messages to appropriate staff members in a timely manner, to include phone calls, emails, and face-to-face interactions
  • Ensures all visitors and parents are properly identified and signed-in
  • Distribute visitor and volunteer identification badges in accordance with school policies
  • Assist the Directors and Principal in handling interruptions and emergencies, calling for assistance when needed

Office Equipment and Supplies

  • Keep an accurate inventor of office supplies
  • Create office supply orders and submit for processing
  • Report equipment deficiences and necessary repairs to Principal

Student Services

  • Organize and distribute new student enrollment packets
  • Assist in new student enrollment process as directed by Directors and/or Office Manager
  • Assist with the withdrawal and transfer of students as directed by the Director and/or Office Manager
  • Assist with scholarship check signatures
  • Collect money, write receipts, and report payments received to Office Manager

Staff Services

  • Organize and distribute new employment packets
  • Collect and distribute resumes to Principal
  • Keep updated roster with important staff information
  • Assist with coordinating and planning staff events, as necessary

Additional Job Functions and Responsibilities

  • Perform any duties and responsibilities, within the scope of this position, as assigned by the Director and Principal
